New Recreation Locking System

Middlebrook Pines Homeowners,

Your Property Manager (Keith) and volunteer Board of Directors (BOD) have been planning to replace the pool fence, pool gate, and tennis court gate with a sturdier material and a new electronic locking system. This project has been in the works for more than a year and we are happy to report that the new fence is being installed the week of July 25, 2022 and the pool will be closed for 3-5 days during installation.

Since landscape material needed to be removed for the installation, we are
taking this opportunity to repair grading issues that the mature landscape has caused and will be installing new plant material. This work has already begun and may take a couple of months to complete and we appreciate your patience during this time.

Access and Locks

Our current lock system with metal keys will be replaced with an “RFID Chip keychain FOB”. This system will also be utilized for Clubhouse doors.
There are many immediate as well as future benefits to be gained by moving to this electronic lock system, including…

  • Elimination of current locks which allow access using keys not designed for the recreation locks.
  • Improved control to ensure that unauthorized people are not using our facilities.
  • Web based and mobile access for lock system for MBP administrators.
  • Ability to lock down recreation areas for safety issues, during closed hours, or during maintenance.
  • Ability to remotely allow access to vendors.
  • Ability to set up temporary door codes (dates and time window) for users of the clubhouse to eliminate accidental lockout.
  • Reporting to analyze use of the facilities and be able to trace users following an incident, complaint, or damage.
  • Ability to automatically turn off accesses at the end of a lease until a new lease is provided.
  • System can be expanded for future uses that might require limited access.
    Each unit will be issued 2 FOBs for use by residents, and lost FOBs will be replaced at a cost to the owner of $50.00 per FOB. Owners leasing their units and have active tenants transfer their right of facility use to their tenant and are responsible for providing the FOBs to their tenants. FOBs will be deactivated at the end of current leases and remain inactive unit we receive a copy of the new lease. Additionally, FOBs should be transferred to new owners when unit is sold. Use of Facility Reminders
  • Those using facilities are required to keep the FOB with them and must present it when requested by anyone acting on behalf of the Middlebrook Pines Board of Directors.
  • Our governing documents limit Guests permitted in the recreation areas to 3 per unit. Large parties are not permitted as they limit use of other residents and can create an uncomfortable environment for those that wish to use the facilities.
  • Cooking or other food service, or the presence of any glass containers are never permitted in the common areas. Call to Action: Distribution of Access FOBs
  • FOBs will be issued, in person, at the Clubhouse at 5255 Cypress Court and a Government identification will be required. Dates and times are identified at the end of this letter.
  • Owners may authorize distribution of the FOBs to their tenant or Property Manager by sending an email to [email protected] with a name, a copy of the current lease, and contact information (phone and email) of the

    tenant.

  • If extenuating circumstances require alternative arrangements, please provide a request with information regarding the need via email to [email protected].

5:00 pm – 6:30 pm

We are excited about this improvement to our property and hope you are also excited. It is our hope that these changes will improve the recreation experiences for all of the residents of Middlebrook Pines and that it will reduce costs due to unauthorized use, vandalism and/or damage to our property.
